Owner-approved launch privacy notice, prepared 17 September 2026. It becomes effective when published. This document describes the website’s project, account and automated file-security processing; operational details and legal requirements remain subject to continuing review.
1. Who is responsible and how to contact us
Johnathon Patterson, using the KVDENCE / Mixed by KVDENCE name in Jamaica, is responsible for the project information handled through this service. Send privacy questions, correction requests or access concerns to contact@kvdence.com. Include enough information to identify your booking, but do not email passwords, payment-card details or unnecessary identification documents. We may need proportionate verification before disclosing information or changing access. This notice describes the implemented website and project workflow; it is not a claim of registration, certification or regulatory approval.
2. Information provided by you
The booking flow collects the package and song count, artist or contact name, email address, project title, creative notes and confirmed residence, including a US state or Canadian province or territory. The client workspace holds uploaded audio and associated filenames and metadata, project messages, revision requests and deliverables. Contact submissions contain the information you choose to send. Recordings may include other people’s voices or identifying information; provide only material you have authority to share. Adult booking declarations are recorded; the booking form does not request a child’s identity documents or exact birth date.
3. Records created by the service
The application records estimates, applied discounts, payment references and status, delivery and project status, accepted agreement text and version, acceptance time, residence, adult declaration and any early-start request. Sign-in challenges, access sessions, request identifiers, email delivery or suppression records and administrative audit events support access control and troubleshooting. Hosting and payment services necessarily receive connection information when your browser contacts them. A country-level hosting suggestion is used for relevant booking information; this feature does not request precise device location. You can correct the suggestion before confirming your residence.
4. Purposes and processing grounds
Project information is used to respond to enquiries, calculate and administer the requested quote, verify access, deliver the agreed audio service, communicate project updates and handle payments, cancellations and disputes. Access and audit records support security, fraud prevention and investigation. Accounting and agreement records may be needed for applicable legal obligations and claims. Where a law requires a stated legal basis, contractual necessity applies only to information necessary for the requested service; a legal obligation must be identified, and any legitimate-interest use requires the applicable assessment. Optional publicity or unrelated marketing requires a separate appropriate permission. Acceptance of these terms is not treated as unlimited consent to personal-data processing.
5. Service providers and access
The site is delivered through OpenAI Sites infrastructure using Cloudflare Workers, D1 database storage and R2 file storage. Cloudflare Turnstile supports human-verification checks where configured. The client portal uses email-code authentication implemented by this application; Resend is the integrated transactional email provider. Uploaded files remain private in quarantine while automated malware and archive-safety checks run on the operator’s protected scanner; only files that pass are made available for project work. Website administration uses the configured Sites/ChatGPT authentication and application permissions. The operator accesses project data to provide support and audio services. These technical roles do not by themselves establish every vendor’s legal role, storage location or contract terms; the operator keeps the applicable processing arrangements under review.
6. Payments and transactional email
PayPal processes checkout payments and supplies order, capture, payment-status and related transaction information to the application. Payment credentials are entered into PayPal’s interface, not project notes. PayPal’s own privacy terms apply to its processing. Transactional email may include sign-in codes, project links, status information and the retained booking agreement. The outbox tracks delivery attempts and provider delivery or failure events; acceptance by an email provider is not proof that a message reached your inbox. Email addresses subject to delivery suppression are retained to prevent inappropriate repeated sends. Do not forward private access codes or links.
7. Browser storage and third-party requests
Essential access cookies support checkout ownership, authenticated client sessions and protected administration. Browser session storage can retain unfinished details, a staged discount code and an acceptance retry identifier. Local storage can retain theme preference, country preference, notice dismissal and public audio-comparison rotation. Clearing storage can remove convenience drafts or require signing in again; it does not erase server-side bookings. The inspected application does not include an advertising or cross-site marketing analytics integration. PayPal and human-verification features contact their providers when loaded and may use their own browser technologies. Their provider notices govern those technologies; this statement does not certify that every vendor cookie has been independently audited.
8. Audio availability and other retention
Source audio and final deliverables remain available for 90 days after project completion. Download your files and keep independent backups. The application records the completion-based expiry, removes access after expiry and schedules the stored object for deletion; retry and recovery records can remain until cleanup is confirmed. A separate schedule applies to enquiries, messages, quotes, accounting, security logs, suppressed addresses and agreement records, so those records are not automatically erased with the audio. Any necessary legal hold must be limited to the relevant records and purpose, rather than becoming a reason to retain everything indefinitely.
9. International processing
The operator is based in Jamaica and the integrated hosting, payment, scanning and email providers may process information in other countries. This notice does not promise that all information stays in Jamaica or your country of residence. Processing locations, contractual protections and any required transfer mechanism or assessment depend on the relevant provider and jurisdiction. No adequacy decision, standard contractual clauses or other safeguard is claimed without evidence. Contact us for available information about these arrangements.
10. Protection and confidentiality
The application restricts client access to authorized projects and uses protected access tokens, server-side authorization, administrative permissions, quarantine, automated malware scanning and archive checks. Payment and quote checks run on the server. Security scans may reject files that contain malware, encrypted or nested archives, unsafe paths, excessive expansion or unsupported size patterns; a rejected file is not opened for project work. These safeguards reduce risk but are not a guarantee that loss, unauthorized access or service interruption can never occur. Keep your email account secure and report suspected unauthorized access promptly. Private project material is not authorized for public portfolio use merely because you booked a service. Requests from authorities and dispute-related disclosures must be assessed under applicable law and confined to the information reasonably required.
11. Your requests, rights and complaints
Depending on the law that applies, you may have rights to information, access, correction, deletion, restriction, objection, portability or withdrawal of consent where consent is relied upon. These rights have legal conditions and exceptions; a deletion request does not automatically erase records that must lawfully be kept. Contact contact@kvdence.com to make a request or challenge a handling decision. We will explain any verification needed and the applicable response or restriction. You may also complain to Jamaica’s Office of the Information Commissioner or another competent privacy authority where applicable. This process does not require you to waive a right or pay for the exercise of a right where the law prohibits a fee.
12. Revision and continuing review
Launch revision 2026-09-17-checkout-v4, owner-approved on 17 September 2026 and effective when published. Provider processing and transfer arrangements, registration obligations and regional disclosure requirements remain subject to continuing review. The automated quarantine and file-security workflow and 90-day audio-availability lifecycle are part of this version; encrypted operational backup copies and required non-audio records follow their own controlled processes. A material future change will be explained before new processing begins where required by law; an accepted historical agreement remains preserved with its booking.
